Folios, invoices, journal entries, and tax compliance

A folio is created automatically at check-in and tracks all charges and payments for the stay. Room charges, F&B, spa, and other services post to the folio. It closes at checkout when the balance hits zero.

Cash, credit/debit cards (Visa, Mastercard, Amex), UPI, bank transfers, mobile wallets, vouchers, deposits, and channel-prepaid payments. Each method maps to the correct accounting ledger.

Tax invoices are generated automatically after checkout from a paid bill. They include full tax component breakdowns, your property branding, and are emailed to the guest with a secure download link.

Yes. Every financial transaction automatically creates a balanced journal entry. Room charge posts Dr Guest AR, Cr Room Revenue. Payment posts Dr Cash, Cr Guest AR. Books are always balanced.

Yes. Transfer charges between folios, apply deposits to specific items, and settle partial amounts. Multiple folios per reservation are supported for group billing scenarios.

The system supports multiple financial years with proper period closing. The first year is created during property registration. No transactions can be posted to a closed period.

Accommodation, food and beverage (restaurant, bar, room service), spa, laundry, recreation, transportation, parking, fees (late checkout, cancellation, no-show), and miscellaneous. F&B charges post automatically when staff use Bill to Room.

When a guest has overpaid (negative folio balance), a refund can be issued. Refunds are recorded as separate transactions and can only be processed up to the amount of the overpayment. Methods include cash out, card processed, and deposit returned.

Yes. If an invoice needs adjustment after issuance, a credit note can be created against the original invoice. It records the reason and the amount being credited.
